Who is responsible for your information
Mrs Stacey S Parks trading as Knots ‘n’ Tangles, Rushfield Farm, Tilton Road, Billesdon, Leicester, LE7 9FE is the controller of personal information used to operate the K9 Pool booking service. In this notice, “we”, “us” and “our” mean Knots & Tangles.
Privacy enquiries may be sent to info@knotsntangles.co.uk. Booking enquiries should be sent to bookings@knotsntangles.co.uk.
Kettlebrookdesign Ltd administers the booking system and collects payments on our behalf. It may separately need to retain transaction information to meet its own legal, tax, fraud-prevention and accounting obligations.
Information we collect
We may collect and use:
- your name, email address and telephone number;
- the service, date, time and duration you select;
- your booking reference, booking status, payment status and Stripe transaction references;
- records of confirmations, reminders, reschedules, staff notes, agreed refunds and messages about the booking;
- your acceptance of the booking terms and acknowledgement of this notice, including the document version and time recorded;
- limited technical and security information needed to protect private booking links and prevent misuse; and
- information you choose to provide when contacting us, including relevant information about a dog’s health or behaviour.
We do not receive or store your full card number. Card details are supplied directly to Stripe.
Why we use it and our lawful bases
We use the information to:
- create, take payment for and fulfil your booking, send service messages, provide secure booking management and deal with reschedules or agreed refunds — necessary to enter into or perform our contract with you;
- maintain payment, tax, accounting and consumer-service records — necessary to comply with legal obligations;
- protect customers, staff, animals, the pool and the booking service; prevent fraud or misuse; investigate incidents; recover failed transactions; and improve operational reliability — our legitimate interests, balanced against your rights; and
- respond to legal claims or requests from regulators or law-enforcement bodies where the law requires or permits this.
The booking checkbox records that you agreed to the terms and received this notice. It is not consent to marketing. We will not add you to marketing emails unless you make a separate choice to receive them.
Who receives the information
Where necessary for the purposes above, information may be shared with:
- Kettlebrookdesign Ltd, for booking-system administration, technical support, payment collection and reconciliation;
- Stripe, for secure card processing, payment records, fraud prevention and refunds;
- Brevo, for transactional booking emails such as confirmations, reminders and reschedule messages;
- SiteGround, which hosts the website, database and backups;
- professional advisers, insurers, auditors or service providers under appropriate confidentiality and data-protection terms; and
- courts, regulators, tax authorities or law-enforcement bodies where required or permitted by law.
We do not sell your personal information.
Some providers may process information outside the UK. Where this happens, the relevant provider must use a lawful transfer mechanism and appropriate safeguards. Contact us if you would like more information about the safeguards relevant to your information.
How long we keep it
Booking, payment, refund and related accounting records are normally kept for up to six years after the relevant financial year, unless a longer period is required for a legal claim, tax enquiry or other legal obligation. Short-lived booking sessions, security records and routine technical logs are kept only for as long as reasonably necessary for security and operation. Backup copies expire through the normal backup cycle.
When information is no longer required, it is deleted, anonymised or securely made inaccessible.
Your choices and rights
Depending on the circumstances, you may have the right to ask for access to your personal information, correction, deletion, restriction, portability, or to object to processing based on legitimate interests. Some rights are limited where we must retain information to fulfil a contract, comply with law, establish legal claims or protect others.

If you are unhappy with our use of your information, please contact us first so we can try to resolve the matter. You may also complain to the Information Commissioner’s Office at ico.org.uk or by telephone on 0303 123 1113.
Required information and automated decisions
The booking form identifies which details are required. Without the required name, email, booking selection, terms acceptance and payment information, we cannot create and fulfil the booking. We do not use booking information to make solely automated decisions that have legal or similarly significant effects on you.
Changes to this notice
We may update this notice when the booking service, suppliers or legal requirements change. The current version and date will be shown on this page. A material change that affects an existing booking will be communicated where appropriate.
